Responsibilities:
• Reporting to the Senior Vice President of the department.
• To perform general secretarial duties such as correspondence by fax, letters & e-mail, filing as well as scheduling appointments & meetings.
• To liaise and to co-ordinate with other Divisions and Departments on matters relating to administration, personnel and other department related matters.
• To screen telephone calls and visitors and resolve routine and complex inquiries.
• Complete and process necessary documents and track their status & ensuring that all forms are duly signed and submitted to the respective Divisions/Departments/Units.
• To review, organize, distribute and prioritize incoming and outgoing mail.
• Schedule departmental travel arrangements to include air, hotel and ground transportation.
• Maintain calendar for department heads.
• Receive and review highly time-sensitive correspondence and maintain confidentiality and recommend actions required.
Requirements:
• Candidate must possess at least a Professional Certificate, Diploma or Advanced/Higher/Graduate Diploma in Secretarial or equivalent.
• At least 5 year(s) of working experience as an Executive Secretary providing support to a senior executive in a fast-paced, dynamic environment.
• Expert in MS Office.
• Excellent interpersonal and communication skills (written & verbal).
• Excellent analytical, problem-solving and organizational abilities.
• Ability to handle multiple tasks, projects, competing priorities and tight deadlines simultaneously while maintaining quality.
• Strong adaptability, flexibility and resourcefulness.
• Demonstrated ability to maintain a high level of professionalism and confidentiality.
• Strong initiative.
